Role Overview:

The Sales Support Administrator provides a central point of coordination for the day-to-day commercial, operational and service administration required to support our clients. The role combines customer quotation and order support with inventory and logistics management, Joiner, Mover and Leaver (JML) coordination, hardware request fulfilment, ticket workflow oversight and Service Delivery Manager (SDM) reporting support.

Working across FluidOne teams and client operating companies, the postholder will keep requests moving, records accurate and stakeholders informed, while enabling the SDM to focus on customer engagement, service improvement, trend analysis and escalation management.

Responsibilities:

Customer Quotes and Commercial Administration:

  • Gather requirements from client operating companies and relevant internal stakeholders for hardware, software and service requests.
  • Obtain accurate pricing and availability information from vendors, distributors, procurement and internal teams.
  • Prepare and submit clear, accurate and timely customer quotes, following agreed commercial and approval processes.
  • Track outstanding quotes, follow up on queries and maintain accurate quote, opportunity and order records.
  • Support order validation, processing, internal handover and resolution of invoicing or order-related queries.

Inventory and Asset Coordination:

  • Maintain accurate inventory records for customer-owned and service-related hardware, including stock levels, allocations, serial numbers and order status.
  • Coordinate stock checks, reservations, replenishment requirements and reconciliation activity with procurement, logistics and technical teams.
  • Ensure asset and inventory records are updated following receipt, allocation, deployment, return, repair or disposal.
  • Highlight shortages, discrepancies, ageing requests or potential fulfilment risks to the appropriate owner.

Logistics Management:

  • Coordinate hardware deliveries, collections, returns and replacement activity across client locations and users.
  • Liaise with couriers, suppliers, operating companies and internal teams to confirm delivery details and track progress.
  • Maintain clear records of dispatch, proof of delivery, returns and exceptions, escalating delays or issues where required.
  • Keep requestors and stakeholders informed throughout the fulfilment lifecycle.

JML and Hardware Request Management:

  • Own the administrative coordination of Joiner, Mover and Leaver requests from receipt through to completion.
  • Validate that requests contain the required user, location, equipment, access and approval information before progressing.
  • Coordinate hardware requirements, stock allocation, delivery and internal technical actions against agreed start, change or leaving dates.
  • Monitor dependencies and completion status, follow up outstanding actions and escalate risks that could affect the user experience or business timetable.
  • Ensure records and ticket updates provide a clear audit trail of approvals, actions, handovers and completion.

Stakeholder and Process Coordination:

  • Act as a dependable administrative point of contact for day-to-day client operational queries within the scope of the role.
  • Work closely with Service Delivery, Sales Support, Procurement, Finance, Logistics, Service Desk and technical operations to progress customer requirements.
  • Document working procedures and support the standardisation, automation and continuous improvement of administrative and reporting processes.
  • Provide appropriate cover and support across the wider team to maintain continuity of service.

Requirements:

  • Experience in administration, customer operations, sales support, service delivery support, logistics, asset management or a similar coordination role. Experience within managed IT services or a multi-site customer environment would be advantageous.
  • Confident gathering requirements, preparing accurate quotes, following up actions and communicating clearly with customers, suppliers and internal teams.
  • Able to manage several requests and deadlines at once, with strong ownership, prioritisation and follow-through.
  • Competent with Microsoft 365, particularly Excel, PowerPoint, Outlook and Teams. Comfortable learning CRM, procurement, inventory and service management systems.
  • Proactive, calm under pressure and comfortable asking questions. Strong attention to detail, good listening skills and a consistent approach to following processes.
