Responsible to: Enrolment & Engagement Manager



Purpose of Job:


To provide a fully comprehensive support function to the unemployment contract delivery at Portland Training. The scope of the role will be varied and cover all stages of the contract delivery including initial engagement, learner support and administration tasks.



Key Duties and Responsibilities



  • Provide an exceptional level of customer service to both stakeholders and learners

  • To provide information, advice and guidance to learners along with keeping records of all activities.

  • To arrange and facilitate monthly stakeholder meetings to provide statistics on relevant learner outcomes

  • Communicate effectively with all stakeholders to ensure maximum referrals are converted to enrolments

  • Assign daily appointments to the team of Enrolment Officers ensuring all diaries at maximum capacity

  • Tracking all referrals who are yet to engage with us ensuring every attempt is made to secure a future appointment

  • Ensure all internal and external processes and procedures are followed for contractual requirements

  • Update and maintain all electronic learner records

  • Support the Enrolment & Engagement Manager to maximise the contract spend

  • Support the Quality Manager to ensure a standardised approach to quality assurance across the AEB team

  • To offer support to the wider team objectives at Portland Training as required

  • Undertake any other duties and responsibilities as required by the Management Team

  • To conduct yourself with professionalism in line with Portland Training’s brand values and behaviours

  • Maintain office standards at all times, keeping all areas clean and tidy and having a clear desk policy at all times


Skills Required



  • Confident and polite telephone manner

  • Accuracy of data inputting and a good eye for detail

  • Ability to prioritise workloads and meet deadlines

  • Good understanding of Microsoft packages with a focus on Word, Outlook and Excel

  • Ability to work alone or under supervision

  • Clear and accurate communication skills

  • Knowledge and understanding of GDPR

  • Desire to learn, progress and build a career in the training industry

  • Good level of Maths and English


Qualifications



  • Minimum Level 2

  • IAG or willingness to work towards relevant qualification for the role


KPIs


To lead the engagement team to ensure the following Individual and team KPI’s are achieved



  • Preparation of weekly/monthly referral updates for JCP or as requested

  • To ensure and monitor the team to ensure all new referrals are contacted within a 48 hour period.

  • Ensure contact includes phone, text and email

  • Liaising with referrers on day 5 confirming no contact

  • Willingness to help your team members

  • System accuracy

  • Workplace attitude
