Sue Ross Recruitment are seeking a motivated, professional and team-orientated Receptionist/Administrator to join our client’s hospitable and well-established front-of-house team. This position is well-suited to someone with proven customer service and administrative skills, who is confident in managing varied responsibilities within a supportive, healthcare-focused setting.
As the first point of contact at our clinic, you will play a key role in creating a safe, professional, and welcoming environment for all patients and visitors who visit the clinic. You will manage reception duties, provide administrative support, and ensure smooth daily operations.
While primarily based at the Sheffield head office, occasional travel to their Chesterfield and Rotherham clinics may be required.
Please note:
Hours – Monday 9am – 2pm (5 hours), Tuesday 9am – 2pm (5 hours), Wednesday 1pm – 6pm (5 hours) & Thursday 2pm – 8pm (6 hours)
Key Responsibilities:
- Provide a warm and professional welcome to patients and visitors
- Manage patient check-ins and ensure seamless appointment transitions
- Handle telephone calls, emails, and general enquiries promptly and professionally
- Maintain and update accurate patient records and databases
- Process daily billing, including invoices and liaising with insurance providers
- Monitor stock levels and report shortages
- Schedule appointments and process referrals according to company protocols
- Ensure reception and communal areas are clean and well-presented
- Report maintenance issues in a timely manner
- Adhere to confidentiality, health and safety, and infection control policies
- Promote equality, diversity, and patient rights at all times
Key Skills and Experience:
- Previous experience in a receptionist or administrative role (preferably in a healthcare or customer-facing setting)
- Excellent IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong verbal and written communication skills
- Ability to stay calm under pressure and multitask effectively
- A flexible, collaborative attitude with a commitment to delivering excellent service
