About the Role

An established UK wealth management and financial planning business is looking for a Financial Planning Administrator to join its team in Sheffield.

This is an excellent opportunity for an organised and detail-oriented individual with experience in financial services administration to support financial advisers, maintain accurate client records and deliver a high standard of client service.

You will play an important role in the day-to-day running of the business, supporting a range of financial planning activities across pensions, investments, protection and other financial products.

You will work closely with financial advisers, paraplanners, colleagues and external providers to ensure client requests and new business applications are processed accurately and efficiently.

Key Responsibilities

  • Financial Adviser Support: Provide day-to-day administrative support to financial advisers, manage diaries, arrange appointments and prepare client meeting packs and supporting documentation.
  • Client Relationship Management: Act as a key point of contact for clients, respond to queries, coordinate annual reviews and provide regular updates on outstanding requests and applications.
  • New Business Processing: Assist with new business applications across pensions, investments, protection and other financial planning products, ensuring cases progress smoothly from submission through to completion.
  • Provider Liaison: Communicate with product providers to obtain information, request illustrations and projections, resolve queries and monitor the progress of applications.
  • Letters of Authority (LOAs): Process LOAs and changes of agency, ensuring provider confirmations and relevant plan information are obtained and recorded correctly.
  • Client Administration: Process client instructions, including changes of address, fund switches, surrenders, transfers and other policy-related requests.
  • Client Lifecycle Administration: Manage client departures and deceased client cases sensitively and professionally, liaising with providers and relevant parties throughout the process.
  • Systems and Record Keeping: Maintain accurate client and policy records, update financial information and manage tasks and workflows using the relevant client management system.
  • Compliance and Procedures: Ensure client files are complete and up to date, follow internal procedures and support compliance requirements, including anti-money laundering checks and documentation.
  • Team Collaboration: Work closely with colleagues across the administration and financial planning teams, sharing information and helping to maintain an efficient and supportive working environment.

About You

We are looking for someone who is proactive, organised and committed to delivering excellent client service.

You will ideally have:

  • Previous experience in a financial services administration or financial planning support role.
  • An understanding of pensions, investments and other financial planning products.
  • Experience liaising with clients, financial advisers and product providers.
  • Strong administrative skills, with excellent attention to detail and the ability to manage competing priorities.
  • Confident written and verbal communication skills.
  • A professional, approachable and team-oriented attitude.
  • The ability to follow processes, maintain accurate records and work in line with compliance requirements.
  • Experience using XPLAN or a similar financial planning system would be advantageous.

What's on Offer?

  • Salary of up to £30,000, depending on experience.
  • Hybrid working, with up to 2 days working from home per week following probation.
  • The opportunity to develop your experience within an established financial planning business.
  • Exposure to a broad range of financial planning administration and client servicing activities.
  • The opportunity to work alongside an experienced team of financial services professionals.
